Analysis of school strategy using S.W.O.T. principles

The purpose of the S.W.O.T.  (Strengths Weaknesses Opportunities Threats) feature in Independent School Review is to support senior managers, or governors, when they hold sessions to review school strategy, possibly using S.W.O.T. principles. These sessions will determine what strategy changes are necessary. Reviewing strategy in these terms is often found an effective way of understanding the strategic position of the school and identifying priorities for change.

Using of this feature with a projector in the review group will remove the need to use flip charts and will make reports immediately available.

We recommend first time users look at the illustration file to quickly view the features of the S.W.O.T. feature. Go to 'Improvement > Strategic Planning Using SWOT > Open Saved S.W.O.T. file', then highlight the file Illustration SWOT analysis.adx and click 'Open'.

From this menu it is also possible to create your own SWOT file by selecting 'Create New S.W.O.T. file'.

The S.W.O.T feature has a similar layout to the balanced scorecard feature with slight changes. The first S.W.O.T. screen lists a few typical strategic topics for a School under the 4 S.W.O.T. perspectives - Strengths, Weaknesses, Opportunities and Threats - together with a short heading.

These topics can be customised, as required, to reflect the strategic position of the School. The drop down box accesses the topics under each of the 4 S.W.O.T. perspectives.

Each topic can be given a priority. Responsibility and a review date can be allocated using the 'R' button

The action points feature is accessed using the 'A' button.

The short headings of all the major topics can be viewed by clicking the 'View Topics' button at the bottom of the screen.

The topics are listed in order and show the priority allocated.

The 'View Topics' screen offers a feature to export the topics to, for example, MS Word as an image, so that it can be printed and distributed to relevant managers;

Go to 'File > Screen Information Export' then select the region to be captured with the rectangle and 'Right Click > Copy Image to Clipboard'. The image can then be pasted into documents as required.

The full text of strategic topics, responsibility and review dates can be printed out by clicking Print on the menu bar.

S.W.O.T. reports are produced automatically into an MS Word table format and can be edited, formatted and spell checked as required. To view a demonstration of the report produced here go to 'Help > Report Documents' highlight Illustration SWOT Report.doc and click 'Open'.

The S.W.O.T. feature also has an action planning feature which is the same as that in the Balanced Scorecard feature.

Click the 'A' button on the Topics screen to access the action points screen for a topic and click 'Action Plan' on the menu bar to access the action plan options screen. Click Print to print the produce the selected action plan report.

Most strategic topics listed under S.W.O.T. perspectives will be directly related to aspects of management practice.

The quality statements that are in the self-assessment part of Independent School Review are comprehensive. Those that directly impact on a strategic topic can be identified through the screen that is accessed by clicking the 'View Issues' button at the bottom of the screens.

Those that are relevant can be identified by using the drop down boxes and then selected by clicking Select. Quality statements will be listed either as management processes or results.
